Quote Follow-Up Guide

Sending a quote is only half the battle. A thoughtful follow-up strategy can double your close rate and prevent jobs from slipping away.

Why Follow-Up Matters

Most customers get multiple quotes. The one who follows up professionally and promptly is the one who gets the job. Following up shows you care, keeps you top of mind, and gives you a chance to answer questions that may be holding the customer back.

When to Follow Up

Send your quote immediately after the site visit. Follow up by phone or text 2–3 days later. If you have not heard back, send a friendly email reminder at day 7. After that, a final check-in at day 14. If there is still no response, it is time to move on.

What to Say

Keep your follow-up warm and helpful, not pushy. Ask if they have any questions about the scope or pricing. Offer to adjust the quote if their budget is tight. Remind them of your availability and willingness to help. End with a clear next step.

Automating Follow-Ups

Use a CRM or follow-up tool to automate your email and text reminders. This ensures no lead falls through the cracks. Automated follow-ups can be personalised and scheduled, saving you hours each week while keeping your pipeline full.
